Required information on an invoice in Poland

Make sure every invoice you issue in Poland includes:

  • Issue date and a unique sequential invoice number
  • Names and addresses of seller and buyer
  • Tax ID (NIP) of seller and buyer
  • Date of supply or payment if different from issue date
  • Name of goods/services, unit of measure, quantity and net unit price
  • Net value per VAT rate, VAT rate, VAT amount and gross total
  • The note “mechanizm podzielonej płatności” where split payment is mandatory

Rules and tips for Poland

  • KSeF (National e-Invoicing System) is mandatory: since 1 February 2026 for the largest taxpayers and since 1 April 2026 for all other VAT payers. Micro-businesses with very low monthly invoice volumes have a transition period until the end of 2026.
  • Invoices issued in KSeF get a KSeF number; invoices to consumers can still be issued outside KSeF.
  • Businesses below the annual turnover limit for subjective VAT exemption do not charge VAT (the limit was raised to PLN 240,000 from 2026).
  • Keep invoices until the tax liability expires — generally 5 years from the end of the year in which the tax was due.
