What to include on a Sales Receipt

Every document should cover the basics on the left. The items on the right are specific to this type.

  • The word "Receipt" and a unique receipt number
  • Your name or business name and contact details
  • The payer's name
  • Date the payment was received
  • What the payment was for
  • Amount paid, currency and any tax included
  • Payment method
  • Balance remaining, if it was a partial payment

Specific to a Sales Receipt

  • Seller name, address and tax registration number (if registered)
  • Date of sale
  • Each item with quantity, unit price and line total
  • Sales tax or VAT shown separately, with the rate
  • Payment method
  • Return or exchange policy

Tips for your Sales Receipt

  1. Show sales tax or VAT as a separate line with its rate — many jurisdictions require it to be separately stated.
  2. Print a short return/exchange policy ("Returns within 30 days with receipt") — it prevents disputes at the counter.
  3. Use item names or SKUs that match your stock list so returns and inventory are easy to reconcile.
  4. If a business customer needs to reclaim VAT, issue a full invoice with their details instead of a basic sales receipt.

Frequently asked questions

Is a sales receipt the same as an invoice?

Not quite. A sales receipt confirms a sale that has already been paid; an invoice requests payment. For business buyers who need to reclaim tax, a full (tax) invoice is usually required.

Do I need to include sales tax on a receipt?

If you are registered to collect sales tax or VAT, show the tax separately on the receipt. If you are not registered, do not add tax.

Do I need a cash register to give receipts?

Not usually — a clear written or PDF receipt is fine in many places. Some countries do require certified cash registers or electronic fiscal receipts for retail sales, so check your local rules.

This template and guidance are general information, not legal or tax advice. Requirements vary by country, state and industry — check local rules for your situation.
