What to include on a Payment Receipt

Every document should cover the basics on the left. The items on the right are specific to this type.

  • The word "Receipt" and a unique receipt number
  • Your name or business name and contact details
  • The payer's name
  • Date the payment was received
  • What the payment was for
  • Amount paid, currency and any tax included
  • Payment method
  • Balance remaining, if it was a partial payment

Specific to a Payment Receipt

  • Invoice number(s) the payment applies to
  • Payment date (the date funds were received)
  • Payment method and transaction reference or check number
  • Amount paid and currency
  • Remaining balance on the account, if any
  • Payer and payee details

Tips for your Payment Receipt

  1. Reference the invoice number so the payer's accounts team can match the receipt to the bill instantly.
  2. Include the bank or card transaction ID — it settles any "did it arrive?" question without digging through statements.
  3. For partial payments, show the amount received and the balance still due on that invoice.
  4. Use a separate number series for receipts (e.g. RCT-2026-0001) so they never clash with invoice numbers.

Frequently asked questions

What is the difference between an invoice and a payment receipt?

An invoice requests payment and has a due date; a payment receipt confirms that money has been received and shows the date and method. You usually send the invoice first and the receipt after payment.

Is a bank statement enough proof of payment?

Often it is, but a receipt is clearer: it names what was paid for and links it to an invoice. Many clients, employers and auditors prefer or require a receipt.

Should I issue a receipt for each partial payment?

Yes. Issue a receipt for each amount received, referencing the invoice and showing the remaining balance, so both sides always agree on what is still owed.
