Dashboard & Reports

The Dashboard is your command centre for understanding spending patterns, tracking expenses, and getting a quick overview of your financial activity. This guide explains how to use the Dashboard to analyse your data effectively.

Accessing the Dashboard

To open the Dashboard:

  1. Click "Dashboard" in the sidebar (at the top of the Active Business section)
  2. The Dashboard loads showing charts and statistics

The Dashboard updates automatically when you switch businesses, add expenses, or change date ranges. It will also show data based on the selected business or all businesses where one is not active.


Dashboard Layout

The Dashboard is organised into several sections:

Header Section

At the top right, you'll see:

Date range selector

Set the dates of which you would like to view expense data for. Beside the date fields is quick date preset selector which allows you to quickly set the dates based on

  • Last 28 days,
  • Last 3 months,
  • Last 6 months,
  • Last 12 months,
  • This fiscal year

Currency selector

  • Choose which currency you wish to view expense data for.
  • Only expenses stored in the selected currency are shown.
  • Where a business is active, its default currency is used when switched.
  • Where no business is active, your app-wide default currency is used on page load.

Quick Stats Cards

Below the header, you'll see summary cards showing:

  • Expenses: Count of expense records in the selected period which regardless of currency or status
  • Expenditure: Sum of all expense totals of the selected currency
  • Businesses: Count of all available businesses
  • Categories: Count of all categories for the selected business (or all categories if no business is active)
  • Vendors: Count of all vendors for the selected business (or all vendors if no business is active)

Spending Over time

A line chart showing spending over time in the selected period.

Chart features

  • X-axis: Time periods (days, weeks, or months depending on date range)
  • Y-axis: Total spending in selected currency
  • Line: Moving average
  • Hover: Displays exact amounts for each day/month/week shown in the x-axis

Time granularity

When the total days between start and end date range is:

  • Less than 28: Chart shows daily breakdown
  • Less than 91 days: Shows weekly breakdown. Click a bar to view daily breakdown for that week
  • More than 90 days: shows monthly breakdown. Click a bar to view daily breakdown for that week.

Pending Tasks Section

Shows counts and quick links for items needing attention:

Pending Review:

  • Count of expenses flagged for manual review
  • Click to navigate to Pending Review screen
  • Badge indicator shows same count

Files to Process:

  • Count of files in Processing Queue waiting for AI
  • Click to navigate to Processing Queue screen
  • Badge indicator shows same count

Uploaded Files:

  • Count of files in Upload queue ready to process
  • Click to navigate to Upload Files screen
  • Badge indicator shows same count

This section helps you quickly see what needs action without navigating through multiple screens.


Spending by Category

This widget shows a tabular view of all categories which have expenses in the selected date range for the selected currency. The table shows:

  • Category name
  • Which business the category relates to (useful when no business is active)
  • Total number of expenses
  • Summed total of expenses

Notes

  • The table adapts and updates in real time as businesses are switched, dates are changed or the currency is switched.
  • The data in the table is ordered by total descending by default. You may sort the data as needed manually.

Empty state:
If you have no expenses in the period, the chart shows "No data available for the selected period."


Spending by Vendor

Similar to spending by category, this widget shows a tabular view of all vendors which have expenses in the selected date range for the selected currency. The table shows:

  • Vendor name
  • Which business the category relates to (useful when no business is active)
  • Total number of expenses
  • Summed total of expenses

Notes

  • The table adapts and updates in real time as businesses are switched, dates are changed or the currency is switched.
  • The data in the table is ordered by total descending by default. You may sort the data as needed manually.

Empty state:
If you have no expenses in the period, the chart shows "No data available for the selected period."


Top Categories Chart

A pie chart showing your top 5 categories with a 6th displayed as "all others".

Information shown:

  • Category name
  • Total Summed expenses
  • Percentage

Empty state:
If you have no expenses in the period, the chart shows "No data available for the selected period."


Top Vendors Chart

A pie chart showing your top 5 vendors with a 6th displayed as "all others".

Information shown:

  • Vendor name
  • Total Summed expenses
  • Percentage

Empty state:
If you have no vendors in the period, the chart shows "No data available for the selected period."


Recent Expenses Section

A tabular based widget displaying the 10 most recent expenses. The table provides:

  • Invoice number
  • Vendor name
  • Expense total
  • Invoice date

Notes:

  • Expenses are auto sorted by expense creation date descending.
  • Click on an expense row to view full details of the expense.
  • Data is updated when the active business is switched.

Empty state:
If you have no expenses in the period, the table shows "No data available for the selected period."


Recent Activity Section

A tabular based widget displaying the 10 most recent activity log entries. The table provides:

  • Action that occurred
  • what the action relates to
  • A short summary of the action
  • When the action occurred

Notes:

  • Activities are sorted action date descending (latest first)
  • Click on an activity log row to view full details of the activity.
  • Data is updated when the active business is switched

Empty state:
If you have no expenses in the period, the table shows "No data available for the selected period."
