Tips for your Deposit Receipt
- State clearly whether the deposit is refundable or non-refundable, and in which situations — this is the most common source of deposit disputes.
- Reference the quote or order number so the deposit links to the agreed scope and price.
- On the final invoice, show the full price and subtract the deposit as a separate line.
- In VAT systems, receiving a deposit can create a tax point for that amount — check whether you need to issue a VAT invoice for it.
Frequently asked questions
Is a deposit refundable?
It depends on what was agreed and on consumer law where you are. Write the refund conditions on the receipt and in the agreement so there is no ambiguity.
What is the difference between a deposit and a down payment?
The terms are often used interchangeably. Commonly, a deposit secures a booking or order (and may be forfeited), while a down payment is simply the first part of the purchase price.
Should I charge tax on a deposit?
In many VAT/GST systems, tax may be due when a deposit is received. In the US, sales tax generally follows the sale itself. Check your local rules — this is not tax advice.
