What to include on your Trucking invoice

Every invoice should make it effortless for the client to understand what they are paying for — and to pay it.

  • Your business name, logo and contact details
  • Client name, company and billing address
  • A unique, sequential invoice number
  • Issue date and payment due date
  • Itemized services or products with quantity, rate and amount
  • Subtotal, any discounts, tax and the total due
  • Payment terms and accepted payment methods
  • Your tax ID or VAT number, if you are registered

Specific to Trucking invoices

  • Load and BOL numbers
  • MC / DOT number
  • Pickup and delivery locations and dates

Trucking invoicing tips

  1. Always include the load number, BOL number and pickup/delivery dates — brokers will not pay without them.
  2. Attach the signed proof of delivery (POD) and rate confirmation to the invoice.
  3. List accessorials (detention, layover, lumper, TONU) on separate lines with supporting documents.
  4. Show the fuel surcharge separately from the line-haul rate if your rate confirmation does.
  5. Brokers often pay Net 30–45; factoring or quick-pay options can be noted on your invoice if you use them.
