Late Payment Reminder Templates: 6 Free Emails

Copy-and-paste payment reminder emails for every stage, from before the due date to a final notice, plus a phone script and a follow-up schedule.

6 min read

Most late invoices aren’t late because the client refuses to pay. They’re late because the invoice went to the wrong inbox, is waiting for an approval, or simply slipped someone’s mind. A polite, well-timed reminder solves most of these. This guide gives you a follow-up schedule and six ready-to-use email templates that escalate gradually — from friendly nudge to final notice — without damaging the relationship.

The reminder schedule

When Tone Goal
3 days before the due date Friendly, helpful Make sure the invoice is in the system
On the due date Neutral Prompt payment today
7 days overdue Polite but direct Find out what’s blocking it
14 days overdue Firm Get a payment date commitment
30 days overdue Formal Signal consequences (fees, paused work)
45+ days overdue Final notice Last chance before formal recovery

Adjust the timings to your payment terms. For long-term clients you might skip the pre-due reminder; for new clients it’s the most valuable one.

Before you send any reminder

  • Check your own records. Has the payment arrived under a different reference? Is the invoice correct?
  • Re-attach the invoice every time. Don’t make the client hunt for it.
  • Put the key facts in the subject line: invoice number, amount, due date or days overdue.
  • Send to the right person. If your contact isn’t responding, copy the accounts payable address.
  • Keep it short. One clear request per email.

Template 1: Friendly pre-due reminder (3 days before)

Subject: Invoice INV-2026-0047 — €1,850.00 due on 14 November

Hi Priya,

Just a quick heads-up that invoice INV-2026-0047 for €1,850.00 is due on Friday, 14 November. I’ve attached a copy for convenience.

Could you let me know if you need anything else from me — a PO number or supplier form — to get it processed?

Thanks, Daniel

Why it works: it surfaces admin blockers before the invoice is late, when they’re easy to fix.

Template 2: Due-date reminder

Subject: Invoice INV-2026-0047 due today — €1,850.00

Hi Priya,

A reminder that invoice INV-2026-0047 for €1,850.00 is due today. Payment details are on the attached invoice (reference: INV-2026-0047).

If it’s already been sent, thank you — please ignore this message.

Best, Daniel

Template 3: 7 days overdue

Subject: Overdue: invoice INV-2026-0047 (7 days) — €1,850.00

Hi Priya,

I haven’t yet received payment for invoice INV-2026-0047 (€1,850.00), which was due on 14 November. I’ve attached it again here.

Could you let me know when I can expect payment, or whether there’s anything holding it up on your side? Happy to help if any details need correcting.

Thanks, Daniel

Why it works: it asks an open question (“what’s holding it up?”), which tends to get a reply rather than silence.

Template 4: 14 days overdue

Subject: Second reminder: invoice INV-2026-0047 is 14 days overdue

Hi Priya,

Invoice INV-2026-0047 for €1,850.00 is now 14 days past its due date of 14 November, and I haven’t had a response to my last message.

Please arrange payment this week, or reply with a date by which payment will be made. I’ve copied your accounts team in case it’s easier for them to action.

Invoice attached. Thank you, Daniel

Tip: this is a good moment to pick up the phone (see the script below) and to copy your contact’s finance department.

Template 5: 30 days overdue (formal)

Subject: Invoice INV-2026-0047 — 30 days overdue — action required

Dear Priya,

Despite previous reminders on 11, 14, 21 and 28 November, invoice INV-2026-0047 for €1,850.00 (due 14 November 2026) remains unpaid.

As set out in our agreement, overdue invoices may incur late-payment interest and recovery costs. I’d prefer to resolve this without that, so please make payment in full by 19 December 2026, or contact me before then to agree a payment plan.

Please note that I’ll need to pause further work on the project until the account is up to date.

Kind regards, Daniel Weber [Business name, phone]

Only mention fees or interest you’re entitled to — under your contract or statutory late-payment rules where you are. Don’t threaten action you won’t take.

Template 6: Final notice (45+ days overdue)

Subject: FINAL NOTICE: invoice INV-2026-0047 — €1,850.00

Dear Priya,

This is a final notice regarding invoice INV-2026-0047 for €1,850.00, which was due on 14 November 2026 and is now more than 45 days overdue. Copies of the invoice and previous reminders are attached.

If full payment is not received by 9 January 2027, I will refer the matter for formal recovery, which may include a debt collection agency or a small claims procedure, and claim statutory interest and recovery costs where applicable.

If there is a dispute or a problem paying, please contact me before that date — I’m open to agreeing a payment schedule.

Regards, Daniel Weber

Before sending a final notice, make sure you have a contract or written acceptance, the invoice, proof of delivery and your previous reminders. That evidence is what makes formal recovery possible.

Phone script for overdue invoices

A short call often achieves in five minutes what five emails can’t.

“Hi Priya, it’s Daniel from Weber Studio. I’m calling about invoice 0047 for €1,850 that was due on the 14th. I wanted to check it reached you and whether anything’s holding it up?”

(Listen. If there’s a problem, solve it now — resend, correct details, get the right contact.)

“Great — can you tell me when it’s scheduled for payment?”

(Get a specific date and who is responsible.)

“Perfect, I’ll drop you a quick email to confirm. Thanks for your help.”

Follow every call with a one-line confirmation email: “Thanks for the call — as discussed, payment of €1,850.00 for INV-2026-0047 is scheduled for 3 December.”

Handling common responses

Client says Your reply
“We never received it.” Resend immediately and ask for confirmation of receipt. Ask who else should receive invoices.
“It needs a PO number.” Ask for the PO, issue a corrected invoice if required (via a credit note and new invoice, if your rules need it), and ask how long approval takes.
“It’s in our next payment run.” Ask for the date of that run and confirm it in writing.
“We’re disputing part of it.” Ask them to pay the undisputed part now while you resolve the rest.
“We have cash-flow problems.” Offer a short payment plan in writing — partial payments are better than none.

Make reminders less necessary

Reminders treat the symptom. To reduce late payments in the first place:

  • Agree terms and deposits before starting — see how to invoice as a freelancer
  • Invoice immediately when work is done
  • Show an explicit due date and simple payment options
  • Use deposits and retainers for repeat work
  • Track every invoice’s due date so reminders go out on time

Our guide on how to get paid faster covers these in detail. And make sure your original invoice is complete — the invoice generator includes due dates, payment details and notes so there’s nothing to query.

Late-payment interest, fees and debt recovery rules depend on your contract and your jurisdiction. These templates are examples of common practice, not legal advice.
