  • Client name, company and billing address
  • A unique, sequential invoice number
  • Issue date and payment due date
  • Itemized services or products with quantity, rate and amount
  • Subtotal, any discounts, tax and the total due

  • Equipment provided
  • Overtime rate

DJ invoicing tips

  1. Lock in the date with a non-refundable booking deposit, and collect the balance before or on the event day.
  2. List equipment add-ons (lighting, ceremony sound, photo booth) separately from performance time.
  3. Set an overtime rate in advance and bill any extra hours on a final invoice.
  4. Include setup/load-in times, venue address and contact person.
  5. Add travel fees beyond a set distance, and parking or tolls if the venue charges them.

Recommended payment terms

Booking deposit, balance due 7 days before the event

Whatever you choose, agree on the terms before you start, write the exact due date and late-payment policy on the invoice, and send it as soon as the work (or milestone) is delivered.

Frequently asked questions

Is this DJ invoice template free?

Yes. BillKit is free to use with no sign-up. Fill in the template, download it as a PDF and send it to your client. Your data is processed in your browser and never uploaded to our servers.

What should I put on my DJ invoice?

At minimum: your details, the client's details, a unique invoice number, issue and due dates, itemized services with rates, the total and your payment terms. For DJ invoices it also helps to include: Event date, venue and set times, Equipment provided, and Overtime rate.

What payment terms are typical for DJ invoices?

A common setup is: Booking deposit, balance due 7 days before the event. Choose terms that fit the size of the job and your relationship with the client, and always put the exact due date on the invoice.

Should I bill by the hour, per project or per item?

For DJ invoices, a fixed price per project is most common. Split large jobs into milestones or phases and invoice each one when it is delivered. Bill out-of-scope requests as separate lines.

Can I change the currency, add tax or use my own logo?

Yes. The generator supports 150+ currencies, tax/VAT lines, discounts and your own logo. The sample on this page uses USD only as an example.
