Required information on an invoice in Canada

Make sure every invoice you issue in Canada includes:

  • Your business or trading name
  • Your GST/HST registration number (Business Number + RT, e.g. 123456789 RT0001)
  • Invoice date and a unique invoice number
  • Total amount payable
  • GST/HST charged shown separately, or a statement that the total includes GST/HST and the applicable rate(s)

  • For sales of $500 or more: payment terms and a brief description of each supply

Rules and tips for Canada

  • GST is 5% federally; HST provinces combine it with a provincial portion (13% in Ontario, 14% in Nova Scotia, 15% in New Brunswick, Newfoundland and Labrador and PEI). Quebec adds QST (9.975%) and BC, Saskatchewan and Manitoba charge a separate PST.
  • Charge the rate of the province where the supply is made (generally where the customer is located for services and delivered goods).
  • Small suppliers with $30,000 or less in taxable sales over four consecutive calendar quarters do not have to register for GST/HST.
  • Keep books and records, including invoices, for six years from the end of the tax year they relate to.
