What to include on a Painting Estimate

Every document should cover the basics on the left. The items on the right are specific to this type.

  • The word "Quote" or "Estimate" and a unique number
  • Your business details, license and tax ID where relevant
  • Client name and project address
  • Itemized scope with quantities and unit prices
  • Subtotal, tax and total
  • Validity date
  • Exclusions and assumptions
  • Payment terms and how to accept

Specific to a Painting Estimate

  • Rooms or exterior areas included
  • Surfaces: walls, ceilings, trim, doors, cabinets
  • Number of coats and paint brand/product line
  • Surface preparation included
  • Colors (or that colors are chosen by the client)
  • Furniture moving, protection and clean-up

Tips for your Painting Estimate

  1. Specify the number of coats and paint product — "two coats of premium eggshell" prevents arguments over quality.
  2. Describe prep work in detail; it's where most of the labor goes and where clients see the least.
  3. Price significant color changes (dark to light) or extra coats as options.
  4. For homes built before 1978 in the US, lead-safe work practices may apply — factor them into scope and price.

Frequently asked questions

How do painters estimate a job?

Usually by measuring surface area or counting rooms, then adding prep, materials and the number of coats. Some quote per room, others per square foot.

Should paint be included in the estimate?

Either way works — but say which. If the client supplies paint, note that coverage and finish depend on their product.

What is not usually included?

Major drywall repair, moving heavy furniture, wallpaper removal and color consultations are often excluded or priced separately.
