What to include on a quote
A good quote removes doubt and makes it easy for the client to say yes:
- A quote number and date. So you and the client can refer to it later and match it to the final invoice.
- A clear validity period. Prices and availability change β state the date the offer expires.
- Itemised scope and prices. Break the work down into line items so the client sees exactly what is included.
- Taxes, discounts and extra costs. Show tax and any delivery or materials costs to avoid surprises later.
- Terms and next steps. Deposit required, payment schedule, what happens if the scope changes, and how to accept.
Whether a quote is binding depends on its wording and local law. This is general information, not legal advice.

What is the difference between a quote, an estimate and an invoice?
A quote (or quotation) is a fixed-price offer for specific work, usually valid for a set period. An estimate is an approximate price that may change. An invoice is a request for payment after the work is agreed or delivered. You can use the quote mode for both quotes and estimates.
How long should a quote be valid?
Commonly 14 to 30 days, but it depends on your industry and how quickly your costs change. BillKit lets you pick 7, 14, 30, 60 or 90 days, or any custom date.
How do I turn an accepted quote into an invoice?
Open the quote (it is in History), then switch the document type at the top from Quote to Invoice. Your client and line items stay; the document gets the next invoice number and a due date.
Is a quote legally binding?
It can be, once the client accepts it, depending on the wording and the law where you work. Add clear terms to your quote. This is general information, not legal advice.
Is the quote generator free?
Yes β unlimited quotes, PDF download and printing are free, with no sign-up.
Is my data private?
Yes. Everything is created and stored in your browser. Nothing you type is uploaded to our servers.
